How do I create my first quote?
Creating a quote is simple:
- Navigate to Quotes in the sidebar
- Click + New Quote
- Select or create a customer
- Add line items (parts from inventory or custom items)
- Add labor hours and rates
- Tax is calculated automatically
- Preview PDF, then Send or Save as Draft
How do I invite team members?
To add team members:
- Go to Settings → Team
- Click Invite User
- Enter their email address
- Select role: Owner, Manager, Worker, or Viewer
- They'll receive an email invitation
Note: Only Business Owners can invite new team members.
How do I customize my invoice template?
Customize your invoices:
- Go to Settings → Business Settings
- Scroll to Invoice Template
- Upload your logo (recommended: 300x100px PNG)
- Add custom footer text (payment terms, bank details, etc.)
- Choose color scheme
- Preview changes before saving
Quotes & Invoices
How do I convert a quote to a job?
When a customer accepts your quote:
- Open the quote
- Click Convert to Job
- Set the scheduled date
- All quote details (customer, items, pricing) carry over automatically
- Job appears on your calendar
How does tax calculation work?
Tax is calculated automatically based on your business location:
- Australia: 10% GST
- New Zealand: 15% GST
You can override tax rates per invoice if needed.
Can I accept part payments on invoices?
Yes! JobbTrakr supports partial payments:
- Create invoice as normal
- When customer pays, click Record Payment
- Enter amount received (can be less than total)
- Invoice status becomes Part Paid
- Remaining balance shows clearly
- Repeat until fully paid
Scheduling
How do I set up recurring jobs?
Perfect for maintenance contracts:
- Create a job as normal
- Click Make Recurring
- Choose frequency: Weekly, Fortnightly, Monthly, Quarterly, Yearly
- Set start date and optional end date
- Jobs auto-generate on your calendar
How do I reschedule a job?
Super simple with drag & drop:
- Open Calendar view
- Click and drag the job to a new date
- Job automatically reschedules
- Customer gets notification (if enabled)
Or click the job → Edit → Change date manually.
Can I block out unavailable dates?
Yes! For holidays or personal time:
- Go to Calendar
- Click Add Unavailable Date
- Select date range
- Add reason (optional)
- Those dates appear blocked on calendar
- System won't let you schedule jobs on blocked dates
Mobile App
How do I install the mobile app?
iPhone/iPad:
- Open app.jobbtrakr.app in Safari
- Tap the Share button (square with arrow)
- Scroll down and tap "Add to Home Screen"
- Tap "Add" in the top right
Android:
- Open app.jobbtrakr.app in Chrome
- Tap the menu (three dots)
- Tap "Add to Home screen"
- Tap "Install" or "Add"
Does the app work offline?
Yes! JobbTrakr works in offline mode:
- View existing jobs, customers, and quotes
- Add notes and update job status
- Take photos and attach to jobs
- Changes sync automatically when back online
You can't create NEW customers/jobs offline, but can update existing ones.
